Privacy, data & liability
Plain English first, the formal detail underneath. We collect the least we can, store it securely, and you can ask us to delete it.
In one minute
- Public enquiries: when you unlock a trainer's contact details, we log that a lead happened (trainer, page, time). We do not read or store your conversation.
- Trainers: we store the details you submit to run your listing, plus proof of insurance and qualifications, seen only by our approver.
- We never sell data and there are no lead fees or commissions changing hands.
- Ask us to delete your data any time. We will consider every request, though the law sometimes lets us keep certain records. See request to delete your data.
Liability disclaimer
The FASTER Trainer Register is an information directory operated by FASTER Health and Fitness. We list trainers who qualified through FASTER and publish factual information about their qualifications, insurance and first aid as supplied and checked at the point of listing.
FASTER is not a party to any agreement between a member of the public and a trainer. We do not provide, supervise, broker or guarantee personal training services. We make no warranty about the suitability, safety or outcome of any service a trainer delivers. Verification dates we publish reflect what was checked at a point in time and are not a guarantee of current cover. You are responsible for confirming a trainer's current insurance, qualifications and suitability before engaging them, and any contract is strictly between you and the trainer. To the fullest extent permitted by law, FASTER accepts no liability for the acts, omissions or services of listed trainers.
Who we are
FASTER Health and Fitness is the data controller for this register. Contact: privacy@fasterfunction.com. We are established 2006 and based in the UK.
What we collect and why
From the public
- Lead events: when you accept the disclaimer and unlock a trainer's contact details, we record the trainer, the page and a timestamp (and a one-way hashed form of your IP address, used only to prevent abuse). We do not collect your name, email or phone number. Lawful basis: legitimate interests (running the directory and letting trainers know a lead came from it). We have weighed this against your rights; the data is minimal and you can object at any time.
From trainers
- Identity and contact details, location, specialities, bio, links, profile photo. Lawful basis: contract (operating the listing you asked us to publish).
- Proof of insurance, first aid and qualifications, and their expiry dates. Proof documents are visible only to the FASTER approver and are never published. Lawful basis: legitimate interests (verifying standards to protect the public and FASTER's reputation).
- The consent and liability boxes you tick are a record of your agreement to our terms; they are not, by themselves, the lawful basis for processing your listing.
Data minimisation
We ask for the least we need. The public can browse and assess trainers without giving us anything. We only record a lead event at the point you choose to unlock contact details, and we never capture the conversation that follows.
How we store and protect it
- The whole site runs over HTTPS with SSL on the subdomain.
- Data is stored in encrypted databases hosted in the UK or EU.
- Admin and approval dashboards sit behind authentication and access control, with hashed passwords.
- Uploads are limited by type and size; proof documents are access-restricted.
- The public lead form is protected against spam and bots.
- Regular encrypted backups are taken.
How long we keep it
Trainer listing data is kept while the listing is active and for a short period after removal. Lead event logs are kept for up to 24 months, then deleted or anonymised. Proof documents are kept only as long as needed to verify a listing.
Your rights
Under UK data protection law you have the right to access, correct, restrict or object to our use of your data, to data portability, and to request erasure. These rights are not all absolute: in some cases the law lets us keep data despite a request (see below). To exercise any of them, email privacy@fasterfunction.com. We will respond within one month; where a request is complex we may ask you to clarify it, which can pause that time while we wait for your reply.
Automated decisions
We do not make any decisions about you by automated means or profiling. A human reviews and approves every trainer listing.
Complaints
If you are unhappy with how we handle your data, please tell us first at privacy@fasterfunction.com so we can put it right. We will acknowledge your complaint within 30 days and respond without undue delay. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk at any time.
Request to delete your data
You can ask us to delete your data. The right to erasure is not absolute: we will consider your request and, in most cases, action it within one month. We may decline, in whole or in part, where the law allows us to keep the data, for example to comply with a legal obligation, to establish, exercise or defend a legal claim, or where there is another overriding lawful reason. If we cannot delete something, we will tell you why. Trainers can remove their own listing at any time, and FASTER can remove any listing.
